An organised BAföG application does not require an elaborate filing system. It requires a clear connection between each question, your answer and the supporting evidence. Collecting files only by the date they arrived often means searching repeatedly for the same information.
Start with the current official application process or the instructions from your responsible office. Build your own document list from those requirements. Something requested from another student may not apply to you, while a generic checklist cannot replace a specific request from the office.
Keep the filing system understandable
Create sections for study details, personal information, your financial circumstances and, where required, information concerning other people. Use filenames that describe the document and period. “Enrolment_winter_semester” is more useful than “new_scan_final2”. Filenames do not need to contain a full tax identification number or other sensitive identifiers.
Inspect every scan. Are all pages included, edges readable and figures clear? A sharp first page is not enough if the relevant second page is missing. For a multi-page document, a single file can help preserve context when the portal accepts that format. Keep original documents separately from their digital copies.
Request other people's documents precisely
Ask early and specify the period requested in the application. “Please send income documents” is less useful than the exact requirement. If someone wants to send their evidence directly to the office, confirm the accepted channel and how it will be matched to your application. Private financial records need not pass through several personal inboxes unnecessarily.
Maintain a short status list: available, requested, submitted or awaiting clarification. This keeps missing items visible without reopening every folder each day. Record when you requested a document and whether you have discussed alternative evidence with the office.
Before submitting, compare your entries with the evidence, paying particular attention to dates and bank details. Afterwards, retain the transmission confirmation and a copy of the version actually submitted. Having a file on your device does not prove that the office received it. The filing process is complete only when both the contents and their submission can be traced. This record also makes later questions easier to answer accurately.
