A request for additional BAföG evidence becomes easier to handle when you break it into specific tasks. “Documents missing” is not a useful action plan. Identify the exact document, relevant period, application reference and deadline in the letter.
Read the whole request, including attachments and submission instructions. Then list every item separately, preserving the office's numbering where possible. Your response can follow the same order. Sending a large collection of extra records does not replace the particular evidence requested.
Find the correct evidence
Check whether you already have the document but for a different period. This is easy to miss with certificates and income records. Check names, completeness and legibility as well. A cropped edge may remove precisely the detail needed to connect the document to your application.
If the wording is unclear, ask a focused question: which fact is missing, and what document would demonstrate it? Use the application or funding reference through the designated contact channel. Do not send particularly sensitive information just in case it might be helpful, and avoid public or unsecured sharing methods.
Handle documents that take longer to obtain
Some certificates cannot be produced within a few days. Explain the obstacle before the stated deadline and ask how to proceed. Say when you requested the document and when you expect it to become available. You cannot extend a deadline simply by announcing that you need more time; retain the office's response.
When submitting available items first, make it clear which points they address and which remain outstanding. In a hypothetical request containing three items, two might already be available while the third has been requested from another organisation. A short covering message can describe that position without suggesting that the application has been approved or that the missing item is unnecessary.
Keep the submitted files together with the receipt or transmission confirmation. If another query arrives, check whether it concerns the same evidence or asks for something new. This avoids both duplicate submissions and the mistaken assumption that everything has already been resolved. The aim is a traceable record of what was requested and supplied, rather than repeatedly asking for a general progress update.
